Get Started

Add Your Customers

Setup takes under five minutes. No credit card. No free trial. No feature gates.

  • Sign up

    Enter your email, create a password, fill in your business name, phone, and time zone. Verify your email — you're in.

  • Answer a few questions

    The 4-step onboarding wizard asks what work you do, what software you're using now, and how many crews you run. ProBase builds your starting service catalog automatically based on your industry.

  • Import your customer list

    CSV, PDF, plain text, or even a photo of a handwritten list. ProBase's AI extracts customers, properties, and services, flags duplicates, and lets you review before importing. Or skip and add manually later.

  • Tweak your service catalog

    Adjust pricing, edit descriptions, add specialty services, remove what doesn't apply. The starting templates are a foundation, not a cage.

  • Invite your team

    From Settings, invite crew members by email and assign them as Admins or Crew. Build crews from there. ProBase tracks who serviced which stop.

  • Quote new customers (optional)

    Build quotes on-site, send by SMS, get one-tap approval. Approvals turn into scheduled jobs automatically. Or skip quoting entirely if you're booked through other channels.

    Set customers to weekly, biweekly, or monthly cadence. Drag stops to reorder. Pull a canceled customer out of the day. Drop an add-on wherever it fits.

  • Drive-time optimization

    ProBase reorders stops automatically every time you create or assign an appointment. Or hit Optimize Drive on demand to see total time saved before applying.

  • Turn-by-turn in one tap

    Tap any address. Google Maps opens with directions to the property. No copy-paste, no app-switching dance.

  • Document the visit naturally

    Write what you did the way you'd say it out loud. ProBase's AI extracts chemical readings, applications, and observations into structured records automatically. "pH was 7.2, added 2 lbs shock, pool looked clear" parses into the right fields.

  • Photos & notes auto-attach

    Hairline crack in the pump lid? Customer going out of town? Snap a photo, write a note. Both attach to the visit record automatically — searchable by customer, property, or date.

  • Complete the visit

    Tap Complete Visit. ProBase timestamps everything, saves it to the customer's permanent record, schedules the next visit if it's recurring, and queues up the invoice if it's per-service.

Get Paid

Invoice in One Tap

Two billing models. Both flow through your own Stripe-secured customer portal.

  • Per-service billing

    For one-time jobs or customers billed by the visit. When you mark a visit complete, ProBase creates the charge, applies tax based on your settings, and assembles a draft invoice automatically.

  • Subscription billing

    For flat-rate recurring accounts. On each billing date — weekly, monthly, or annual — you tap Add Charge to record the subscription line item. ProBase tracks it on the customer's balance and rolls it into their next invoice.

  • Send the invoice

    Tap Send Invoice on the completed appointment. A pre-filled SMS opens with the customer's unique payment link. Tap Send.

  • Customer pays online

    They tap the link, rate the visit, optionally add a tip, enter their card, and pay. Stripe handles processing; cards never touch ProBase. Or they pay cash or check, and you record it with Record Payment.

  • Everything tracked on Money

    The Money page shows overdue, unpaid, and paid totals at a glance. Invoices move through Unsent → Unpaid → Partially Paid → Paid. Every charge and payment is searchable, filterable, and tied to a customer.

Honest note

Subscription billing is currently manual — you add the charge at each billing period rather than ProBase auto-charging a saved card on a schedule. Cards stay on file in Stripe for fast customer-initiated payments, but automatic recurring charges aren't built yet.

The Tipping Difference

Built-in tipping. Most field service software skips it.
